A custom intranet for businesses
Joomla 5 brings unprecedented freedom, security and scalability to the world of intranet systems, with no dependence on closed platforms and no high licence fees. Thanks to its open architecture, rich ecosystem of extensions and support for standards, it is an ideal alternative to Microsoft SharePoint.
Document management: flexibility without compromise
SharePoint offers a DMS with basic features, but Joomla provides fully fledged document management through extensions. Versioning, approvals, metadata and permissions are fully under your control, with no dependence on third-party cloud services.
Internal websites and portals: a CMS with unlimited potential
Joomla was designed as a CMS from the very beginning, so it offers far more freedom when building an intranet. You can create dozens of page types, module blocks and custom templates. Thanks to native support for Bootstrap, the output is responsive and modern.
Templates for building pages
When managing an intranet, it is important that the page design is clear and easy to adapt. It often happens, though, that you want different parts of the intranet to look different without having to create an entirely new template. This is exactly where the "Child Template" feature helps enormously.
Think of it like this: you have a base template for your whole intranet. It is the solid foundation that defines the main look and functionality. You then create child templates, for example one for the HR department, a second for technical support and a third for news. These child templates "borrow" everything from the main one, but let you adjust only the details you need.
The main advantage, however, lies in security and simple management. If the developer of your base template releases an update, you need not worry about losing your changes. Joomla! updates only the main template, while your child templates remain untouched.
Why this is ideal for an intranet:
- Flexibility: Each department can have its own unique design that is relevant to it.
- A unified base: Despite the various adjustments, you stay true to the base style, which keeps the intranet visually consistent.
- Security: Template updates run safely without overwriting your modified files.
With this feature you can easily build and manage a complex intranet with different sections while keeping your code and design tidy. It is a practical solution that makes working with Joomla even more efficient.
Collaboration and sharing: an open ecosystem without vendor lock-in
Joomla offers an open architecture that lets you easily integrate third-party tools, for example Q&A systems, internal communication or task management systems, through the available API.
Groups
Groups are a tool for creating a shared space where team members can connect, communicate and share important information. They enable effective collaboration through file sharing, organising activities and holding discussions in one central place. Support for multi-factor authentication (MFA). Optionally, you can make MFA mandatory for certain user groups.
User dashboard, creating groups
Planning team activities (meetings, briefings, deadlines) can be handled with extensions offering calendar features that support event sharing and categorisation. For internal support, you can use a component that offers functionality similar to the helpdesk systems in commercial intranets (such as SharePoint), but with the advantage of full control over your data.
Ticket system
Process automation: no limits and no fees
In Joomla you can build your own workflow systems, for example for approving holidays, orders or internal requests.
Search: fast, contextual and precise
The Smart Search engine searches both content and files. Thanks to indexing and advanced settings, it enables efficient search across the whole intranet.
Permissions and security: the foundation of a company intranet
Joomla contains one of the strongest permission systems (ACL) in the open source world. Every article, module, menu item, extension and plugin can have its own access rules. It supports two-factor authentication, audit logs and other features.
Multilingual and accessible: an intranet for everyone
Joomla is natively multilingual, with no need to install additional plugins. Translation packages are maintained by a community of native speakers.
Joomla is accessible according to the WCAG 2.1 standards at level AA or AAA. It supports screen readers, high contrast and keyboard navigation. A built-in plugin checks accessibility as content is entered, including suggestions for fixes.
Integration and extensibility: without limits
You can connect Joomla to ERP, CRM, helpdesk or accounting systems. The REST API allows connections to various systems without dependence on a single vendor.

Content versioning in Joomla: an essential feature for managing and controlling changes on an intranet
One of the lesser-known but extremely important features of the Joomla content management system is Content History. This feature lets you track and manage individual versions of articles, contacts and other content entities.
What is content history?
Content history in Joomla automatically saves previous versions of content whenever a change is made and the item is saved. Each version contains:
- The date and time it was saved
- The name of the user who made the change
- Information about the differences between versions (using a so-called diff view)
- The option to return to a previous version with a single click
Why is this important for an intranet?
An intranet often works as an editorial or documentation system where different employees edit documents, procedures, guidelines or news. The content history feature brings several benefits at once:
- Traceability. You always know who changed what and when.
- Restoring older versions. An accidentally overwritten document is easily restored to its original form.
- Safer collaboration. There is no need to fear editing, because every change is recorded.
- Transparency and control. Team leaders can see how content has evolved without additional reporting.
A practical example
In a company's editorial intranet, for example, you can allow HR staff to edit internal guidelines. If someone accidentally deletes an important paragraph, you simply go to the Versions tab and restore the previous version with one click.
Task scheduler. Automation
An intranet is often full of dynamic content and processes that require regular maintenance or automation. Scheduled tasks essentially replace manual work and ensure that the intranet runs smoothly and efficiently. Some tasks are a native part of the CMS and others are available as third-party open-source plugins, but of course you can also create custom plugins tailored exactly to your needs.
Native tasks in Joomla
- Deleting action logs
- Expiring privacy consents
- Log rotation
- Session cleanup
- Update notifications
- Image size check
- Switching the site online/offline
- Running synchronisation scripts
The uses of the scheduler are almost unlimited. Here are some examples of what can be scheduled:
- Database optimisation
- Checking the PHP version and system environment
- Sending push notifications or SMS messages
- Checking service availability
- Automated approval processes
Managing text filters for an intranet environment
Within an intranet system, it is important to ensure that individual user groups can enter content into the system safely and consistently. Joomla offers a tool called text filters, which lets you define precisely which HTML tags and attributes are allowed in the text editors.
This means, for example, that you can restrict ordinary users from entering invalid HTML code, while giving administrators or editors full access to all HTML elements.
Text editor
Joomla includes preset filters that are suitable for most use cases. If needed, however, these filters can be adapted to the specific requirements of your organisation, for example by adding further tags or, conversely, blocking some.
Correct configuration of text filters is particularly important in larger intranet environments, where content is created by several departments with different levels of technical knowledge.
Dark mode support
Email templates
With the arrival of Joomla 5 came an unobtrusive but very useful feature: the ability to extend email templates with custom variables using a plugin. For ordinary websites this is a pleasant improvement, but for a company intranet it means a fundamental shift in the automation and personalisation of communication.
Emails sent by the system, for example notifications of a new task or deadline reminders, no longer have to be terse and static. Thanks to this new feature, dynamic values such as the manager's name, a link to a document, a submission deadline or the current status of a request can be inserted directly into the templates. Everything works without modifying the core or making complicated changes to the code.
For intranet operations, where the emphasis is on contextual information and efficient workflows, this new feature is very welcome. It allows the system to speak the company's language, even in automatically generated communication.
Why maintaining an intranet is as important as building it
An intranet is not a one-off project. It is a living system that must be kept in shape to work reliably. Without a service agreement (SLA) that clearly sets out the maintenance terms, you may find yourself, once the project is finished, with no one to turn to when a problem appears.
Maintenance costs vary with the size of the system, but they are always an investment in its stability and security. Instead of having to deal with outages in a panic, you have the certainty that your intranet will always work as it should.
Joomla is a robust and flexible platform that can serve as a powerful intranet. A properly set up maintenance agreement is the foundation for making your intranet reliable and secure.
Find the right partner for the implementation
For a successful implementation of an intranet on Joomla, it is important to choose a partner who has experience of developing in this system and who also understands your business needs. It is not just about the technical side, but also about how to design a solution that will genuinely benefit your employees and make their work easier.
